Files Grid Page

You can review all file records added into the application in a grid on the Files page based on your user role’s permissions. Access the Files page by clicking the Files tab on the left sidebar. The main elements on the Files page are numbered in the screenshot below and descriptions are provided following the image.

  1. Search button: click to enter text in the search box and the grid will pull all files that (1) contain the text and (2) you have permissions to access (read Grids for details).
  2. Files Grid filters: you can filter the Files Grid to narrow down the files displayed in the grid. The filters available by default are "File Kind", "Created Date", and "Last Updated Date". You can add more filters by clicking the Filter Menu button (), selecting the fields by which you want to narrow down the grid data, then clicking Done. The filter menu includes all file fields.
  3. Files Grid: each row represents one file record in Case IQ. Click a file row to see the file's details (see Download, Share, Edit, or Delete a File). You will only see files that you have permissions to access on the Files grid. 
  4. Add File button: navigates you to the New File form to upload a file (see Manually Upload a File).
  5. Select files: click the checkbox to select file rows to download to your device or export.
    1. If you select multiple files to download, your browser will download them as a ZIP file. You can download up to 20 files at a time.

  6. Tags: check an uploaded file's tags to determine what the attachment is without downloading or previewing it. Tags are configured for your application by your system administrator. You can tag files when uploading them to a case (see Drag and Drop Files to a Case).
  7. “…” (ellipses) button: hover over the file row to see the “…” button and show options to preview or download the file (see Download, Share, Edit, or Delete a File: Preview a File and Download a File for details). You can download up to 20 files at once.
  8. Grid pages: navigate through the grid results using the page links below the grid. You can see the number of records that meet your filter and search criteria at the bottom right corner of the page.

FAQ

Can I add files to a closed case?

Yes, you can add files to closed cases (i.e. cases where all their workflows are closed). 

What file formats can I upload?

See the types of files you can upload in Supported File Types.

How many files can I upload to a case?

You can add a maximum of 1000 files to a case in your application and upload 20 files at a time. 

From the external portal, reporters can add up to 50 files when submitting or reviewing their case.

What is the maximum file size I can upload?

The maximum file size you can upload to a file record is 50 MB. 

How many files can I download at once?

You can download up to 20 files at once from the Files Grid page.

Case IQ could not upload a file. How can I resolve?

If Case IQ could not attach a file you uploaded:

  • Make sure the file is a supported file type. See a list of all file types you can upload to Case IQ in Supported File Types
  • Remove any access permissions in your file. Case IQ will not be able to upload restricted or protected files.
  • Check how many files have been attached to the case. You can upload a maximum of 1000 files to a case.
